Code of Conduct Essentials: The Ultimate Guide to Crafting and Implementing a Stellar Code of Conduct Policy for Conferences

What is a Code of Conduct Policy and Why is it Important?

A code of conduct policy is  a set of accepted rules and norms for acceptable behavior at an event. It applies whether it's held online or in-person and it goes beyond the basic principles of common courtesy. It defines a framework of expected behavior for everyone associated with the conference. This includes attendees, speakers, and staff.

Gone are the days when conferences could rely on assumed social norms to dictate interactions. With the evolving landscape of events, codes of conduct have become a must. Attendees have come to expect these policies to be in place at the conferences they attend. As policies have evolved, there is an increased focus on inclusivity and diversity.

A code of conduct makes it possible for event organizers to foster a welcoming environment where participants can focus on learning, networking, and engaging in meaningful conversations. A well-crafted code of conduct policy not only protects attendees, but shapes the identity and reputation of an event.

What Should We Include in a Conference Code of Conduct?

Let's explore the key components you should include in an effective code of conduct:

Rules of the Conference

Outline a list of what is and isn’t allowed at the conference. The rules in this section will depend on the specific details of the event. Common topics include: appropriate clothing, adherence to event schedules, and guidelines for interacting with others.

Anti-Harassment Policy

If nothing else, your code of conduct should define harassment, including examples of unacceptable behavior. It should cover forms of harassment such as verbal, physical, and online. It should also emphasize diversity and inclusion, promoting an environment where everyone feels valued and respected.

Consequences of a Code of Conduct Violation

Lay out the consequences of an attendee violating the code of conduct. This can range from a formal warning or counseling for minor infractions, to immediate removal from the event for severe or repeated violations. Communicating these consequences in advance helps deter inappropriate behavior and ensures accountability.

Who and How to Report a Code of Conduct Violation

Give attendees clear instructions on how to report a code of conduct violation. Identify the people or team members they can contact, like event staff or organizers.

Offer many reporting options, such as email, a dedicated phone number, or in-person reporting. This way attendees can choose the method they feel most comfortable with. It also encourages prompt reporting.

Confidentiality

Some attendees will only be comfortable reporting anonymously. This is especially true in the case of a major violation. Promising anonymity can be difficult so as you’re crafting your code of conduct consider how and if you’re able to guarantee anonymity.

Either way, your policy should explain how you will handle the identities of people and any information in regards to an incident.

Reporting Process

Explain the necessary information attendees should provide when reporting an incident. This includes details like a description of the incident, the names or descriptions of the people involved, and the location where the incident happened. This information helps speed up the investigation and resolution of the report. You want to know enough where you can address any issues as quickly as possible.

More Information

Include any essential information not covered in the previous sections. Explain specific event policies or guidelines, accessibility accommodations, emergency procedures, or any other relevant details attendees need.

Making this information available builds trust and helps create a positive conference experience.

The Benefits Of Having a Comprehensive Conference Code Of Conduct

A strong code of conduct has many advantages that contribute to the success of the event. Let's explore some of these benefits:

Clear Definition of Acceptable Behavior.

A code of conduct provides a clear definition of what is and isn't acceptable at the conference. It sets a standard of behavior, ensuring all attendees are informed and on the same playing field. These guidelines help prevent misunderstandings and reduce the likelihood of disruptive or inappropriate behavior.

Safer Environment for Attendees.

A robust code of conduct creates an environment where attendees feel safer and more secure. By explicitly addressing harassment, discrimination, and other forms of misconduct, the policy establishes a sense of trust and encourages respectful interactions among participants. This builds an atmosphere where attendees can focus on learning and  networking without fear of harassment or intimidation.

Clarity for Addressing Incidents.

A clear code of conduct makes it easier for both staff and attendees to identify and address potential issues. By outlining prohibited behaviors, everyone knows what to watch out for and how to respond if they witness or experience an incident. This empowers staff and attendees to take action, promoting a quick resolution to any issues that may come up.

Reference for Organizers and Staff.

A code of conduct serves as a valuable resource for event organizers and staff. In the event of an incident, they have a documented framework to refer to, leading to consistent handling of violations. This provides an important level of accountability and transparency. Organizers and staff can address incidents in a fair and impartial manner. The code of conduct also helps speed up the decision-making process around consequences and next steps.

Shaping Event Identity and Reputation.

A code of conduct sends a strong message about the values and principles of the conference. It demonstrates a commitment to fostering a respectful and inclusive environment. By promoting safety, diversity, and equality, the conference can shape its identity as a reputable and welcoming event. This, in turn, can attract a broader range of attendees, speakers, and sponsors who align with these values.

How to make a Code Of Conduct Policy Effective?

The effectiveness of a code of conduct depends on the commitment and actions of event staff and organizers. Here are key strategies to make your code of conduct policy effective:

Be Prepared to Follow Through.

A code of conduct is only as good as its enforcement. Event staff and organizers must stand up and stand by the policy they have put in place. Be ready to take action when violations occur, regardless of the people involved. Consistency and accountability help uphold the integrity of the code of conduct.

Train Staff on the Code of Conduct.

To effectively use the code of conduct, you must train staff members to be familiar with its contents and procedures. Give them clear guidelines on how to address and respond to code of conduct violations. One way we do this is creating a scenario and walking through different ways of addressing the issue.

Empower them to use discernment in evaluating situations and taking appropriate action. Reinforce the importance of the code of conduct and provide ongoing training to keep staff informed and confident in their role.

Communicate Clearly and Regularly.

A code of conduct is most effective when it's communicated clearly and consistently to everyone. Make the policy available on your website and in any relevant event materials. Communicate the expectations of behavior, prohibited actions, and reporting procedures again and again.

Remind attendees of the code of conduct through email updates, social media posts, and during conference sessions. This helps maintain awareness and underscores its importance throughout the event. We would rather have people over-informed than unaware.

Apply the Code of Conduct Fairly.

To maintain the integrity of your code of conduct policy, apply it fairly and impartially to everyone. Speakers aren't’ above attendees, staff aren’t more important than volunteers. Treat all reported incidents with seriousness and conduct thorough investigations. Avoid any biases or favoritism in addressing violations.

Practicing consistent and unbiased enforcement sends a strong message about your commitment to fostering a safe and inclusive environment. The opposite is also true: bias and favoritism can destroy any trust you’ve built with the audience.

Customizing a Conference Code Of Conduct

There's no such thing as a one-size-fits-all code of conduct. While there are great code of conduct templates out there, you should only use them as a starting point for writing your own. Here are some considerations for customizing your code of conduct:

Know Your Audience and Event.

Each audience and event are unique, so tailor your code of conduct to address their specific needs and concerns. Take into account the identity, cultural backgrounds, and activities that will happen at the conference. For example, if your audience follows a specific dress code, include guidelines that align with their expectations. Understanding your audience lets you create a code of conduct that speaks to their experiences and values.

Use Simple Language.

To make your code of conduct accessible and helpful to attendees, use language that's easy to understand. Avoid jargon, technical terms, or complex language that can confuse or alienate people. Aim for clarity and simplicity, ensuring that the largest number of people can understand the policy. If necessary, give explanations or examples to clarify expectations and acceptable behavior.

Adapt to the Language of Your Audience.

Language plays a significant role in effective communication. Consider the cultural and linguistic background of your audience when writing the code of conduct. Use terminology and expressions that are familiar and relatable to them. If your conference attracts an international audience, provide translations or multilingual versions of the policy.

Include Relevant Examples.

To make it easier to understand and reinforce your expectations, use relevant examples where appropriate. Examples can show both desirable and undesirable behaviors, helping attendees understand the standards of conduct. By using practical scenarios, you help participants navigate social interactions and make informed decisions.

How to Communicate a Code Of Conduct to Attendees?

If nobody’s read your code of conduct, does it exist?  Here are practical strategies to make sure attendees are aware of and agree to the code of conduct:

Integrate it with Ticket Sales.

Embed the code of conduct as part of the terms and conditions during the ticket buying process. Make attendees review and agree to the code of conduct before completing the ticket purchase or entering the venue. This ensures that attendees are aware of the expectations from the outset.

Feature it on the Event Website.

Display the code of conduct on the event website and include a direct link in the main site navigation. This makes it easy for attendees seeking information about the event. Present the code of conduct using a readable font and layout.

Send Reminders in Attendee Communications.

In the lead-up to the event, include reminders in attendee communications and pre-event emails. This reinforces the expectations and reminds attendees of their commitment to follow the code of conduct.

Highlight it in Online Event Platforms.

For online events, make the code of conduct available on the event platform. Provide a link or dedicated section where attendees can access and review the code of conduct.

If using simpler tools like Zoom, consider dropping a link to the code of conduct in the chat for easy reference.

Display it at In-Person Events.

Print and display a copy of the code of conduct near the entrance to the main venue or registration area. This physical reminder reinforces the message of the event's commitment to fostering a respectful environment.

Daily reminders during the conference.

At the beginning of each conference day, remind attendees that the code of conduct is in effect. Do this via announcements or displaying a slide with a summary of the code of conduct. This keeps the code of conduct at the forefront of attendees' minds throughout the event.

In closing, having a good code of conduct policy is a must for conferences and events. It helps set the rules and make sure everyone feels safe and included.

But having a policy isn't enough. It's important for the organizers and staff to actually follow and enforce it. They should train on how to handle situations and make sure to treat everyone fairly.
